70% Faster PO Processing on a Custom Oracle VBCS Interface

Challenge

A multi-division construction and infrastructure firm with operations spanning design-build, civil infrastructure, properties, and major projects was in the middle of transitioning its enterprise stack to Oracle Fusion Cloud Applications across ERP, HCM, SCM, and PPM. The migration was on track at the platform level, but the SCM Procurement function had a problem that the standard Oracle UI couldn’t fully solve.

Purchase order receipts, distributions, change orders, and adjustments were high-volume, repetitive transactions that didn’t suit the out-of-the-box screens. Procurement staff was spending too much time on manual data entry and updates, the lack of bulk-upload support slowed high-volume processing, and the friction was working against the speed and scale the broader Oracle Fusion migration was supposed to unlock.

Solution

Apex IT designed and delivered a custom procurement interface on Oracle Visual Builder Cloud Service (VBCS), fully integrated with Oracle Fusion Procurement. The custom UI covers PO Line Distributions, Receipts, and Change Orders, with bulk upload for high-volume PO receipt processing, embedded validations and business rules for automatic cost and quantity calculations, and automatic creation of PO change orders where the rules call for it. Real-time integration with Oracle Fusion keeps the custom interface and the standard back-end in sync.

The work sits within the company’s broader Oracle implementation across its Oracle SCM solutions and Oracle SCM cloud services footprint. Apex IT has supported the company as it’s worked to stand up Oracle ERP for engineering and construction across multiple divisions. Our design discipline, including improved UX/UI, clean wireframes, and standardized workflows, addressed the user experience gap left by out-of-the-box procurement screens.

Results

The custom VBCS interface is cutting PO receipt and change order processing time by 70% and reducing manual PO entry and updates by 50%, with the bulk upload capability absorbing the high-volume transactions that previously slowed the team down. The procurement function now runs on a UI built around how the team actually works, and the company has a model for how Oracle VBCS can fill experience gaps across other modules as the broader Fusion migration progresses.
