Salesforce for Higher Education: Unifying a Statewide Extension Network on Nonprofit Cloud
Challenge
A major US land-grant research university with a statewide cooperative extension network operating through county-level associations was running its outreach, programming, and constituent engagement on a patchwork of county-by-county systems built around manual spreadsheets and duplicate data entry. Each county association maintained its own records, registration processes, and reporting practices, which made it hard to produce a statewide view of who the network was serving or coordinate outreach across associations.
The organization wanted a scalable statewide platform that could unify constituent, volunteer, program, event, and reporting data across every county association, replace the Excel-based workflows that were consuming staff time, and provide leadership with the statewide reporting needed to make informed decisions about where to invest. The platform also had to be deliverable in phases, with a defined MVP that could prove the model before extending across the broader extension footprint.
Solution
Apex IT served as the Salesforce implementation partner, designing and delivering a Salesforce MVP built on Salesforce Nonprofit Cloud as the unified statewide platform. The Apex Salesforce consulting team worked with the organization to define a phased Salesforce implementation strategy: build a foundational MVP focused on the constituent, volunteer, program, event, and reporting data the network needed to standardize first, then layer in additional capabilities as adoption matured.
The Salesforce implementation services Apex delivered included Constituent View & Profile Management for the unified constituent record, Salesforce Flow Automation and Screen Flows for the workflows county staff use day-to-day, and CRM Analytics (CRMA) for the reporting layer that leadership relies on to see across the network. This solution replaced fragmented county-by-county tools with a single environment in which county-level data automatically rolls up to a statewide view.
Results
The new platform is delivering measurable gains. County reporting cycles run 30% faster, and event registration and attendance are up 20% as constituent visibility and follow-up processes have improved. Beyond the numbers, county and program teams have shed the manual spreadsheets and duplicate entry that previously absorbed staff time, leadership has the statewide rollup needed to make resource decisions across the network, and the Salesforce foundation is positioned to scale through phased rollout, future integrations, and the long-term growth of the extension mission.
